What could prevent me from being authorised to work at a site?
This section applies to RIW cardholder and outlines the most common reasons why you may be denied access to a worksite when using the Site Eligibility Check feature in the RIW system.
The Site Eligibility Check assesses your current compliance status against site-specific requirements. If you're flagged as not having authority to work at a particular site, one of the following reasons may apply. Each rejection reason includes guidance on what it means and what actions you can take to resolve it.
This instruction applies to the following RIW System User Roles:
- myRIW User (i.e. RIW cardholder)
Rejection Reason | Information and Action Required |
Missing Requirements | This means one or more of the mandatory requirements for your assigned job role or site have not been met. Typical missing requirements include expired or missing competencies, medical assessments, or job roles. You should check your RIW profile and contact your employer to identify and address the missing or expired items. |
No Employer | Every worker in the RIW system must have a designated primary employer. If you do not have a primary employer linked to your profile, you will be denied access to sites. This can occur if your employment has ended or if a employment request has not been accepted. Visit your Employers & Associations to check if you have any pending employment requests or alternatively contact your employer to employ you within the RIW system to resolved this. |
Subscription Expired | A valid, current RIW subscription is required for site access. If your subscription has expired or has not been paid, your profile becomes inactive, and you will be denied access. Please contact your primary employer to renew your subscription. |
Network Block Exists | A network block means the network operator (the organisation responsible for the rail network) has placed a restriction on your profile. This is typically due to a safety, compliance, or investigation issue and prevents you from accessing any site within that network. Contact your employer or the network operator for clarification and next steps |
National Block Exists | A national block is a restriction applied at the highest level, usually due to serious safety, compliance, or legal concerns. This block prevents you from accessing any site across all networks nationally. You will need to resolve the underlying issue with your employer and the RIW Service Desk before access can be restored |
Site Block Exists | A site block is applied by a site administrator or contractor in charge for a specific worksite. It may be due to a non-negative Breathalyser (Non-Negative BrAC) test. This block restricts your access only to the affected site. Contact the site administrator or your employer for more information and to resolve the block. |
Outside Work Hour Rules | Access may be denied if you attempt to enter a site outside applicable maximum work hour rules set at the site, based on your RIW access history across all RIW sites. Many sites enforce strict work hour rules to ensure safety, manage fatigue, and comply with contractual agreements. If you believe this is an error, contact your site supervisor or employer for clarification. |
Card Expired | Access will be denied if your RIW card has expired. The RIW card is your official identification and proof of competency for rail industry sites. An expired card means your credentials are no longer valid, and you cannot legally or safely enter worksites until it is renewed. To regain access, you must arrange for your card to be renewed through your employer or the RIW portal. Always check the expiry date on your card and renew it before it lapses to avoid disruptions to your work. |
Card Cancelled | Access will be denied if your RIW card has been cancelled. A cancelled card means it is no longer valid for use due to reasons such as being reported lost or stolen or cancelled by your employer. Once cancelled, both physical and virtual cards are immediately deactivated and cannot be used to access any site. If you believe your card has been cancelled in error or need clarification, contact your employer or the RIW Service Desk for assistance. To regain access, a new card will need to be issued by your primary employer. |
