What is myRIW?
myRIW is the system that lets Rail Industry Workers view and manage their RIW profile on the web.
In myRIW, you can:
- View, accept and reject your employer relationships and associated company relationships.
- End your employment relationship.
- End your association with a company.
- View your job roles and their validity.
- View your competencies, competency evidence and when they expire.
- View a summary of your rail health (medical) assessments, drug and alcohol assessments, breathalyser test records, and additional medical information items.
- View your swipe history.
- Update your contact details, including your emergency contacts.
- Update your password.
- Update your notification preferences for receiving expiry alerts.
- Ask your employer to make corrections to your profile.
When a cardholder is first created in the RIW System, they will receive an email to create a myRIW profile to accept the employment request. Please refer to How does a cardholder create a myRIW profile? for further details on creating a myRIW account.

myRIW allows you to view your RIW profile on the web. You can view all the information held about you in the RIW System, including employers, associations, job roles, competencies, rail health assessments and swipe information.
You can also update your email address and/or mobile number, password, notification preferences and contact your Employer to make any corrections to your profile.
When you are first created as a Rail Industry Worker in the RIW System, you will receive an email invitation to create a myRIW account to accept the employment request.
This article details how to create your myRIW account.
This instruction applies to the following user roles:
- Rail Industry Worker (myRIW)
1 | Go to the myRIW login page at https://app.riw.net.au/MySkillGuard/. |
2 | Click on the Create Account button. |
3 | On the Register to myRIW screen, enter your RIW Number, First Name, Surname and Date Of Birth. Make sure the details are entered correctly as these are matched to the details recorded in the RIW System. The match has to be exact to grant access. Click Submit. Note: If the RIW System does not find a corresponding record, try entering your details again. If the system still doesn't find a matching record, please contact your Employer to confirm your details. |
4 | Provided the details entered match your record in the RIW System, you can now set your password. Create a Password using the guidance on screen. Enter your password again in the Confirm Password field. Click Register. |
5 | You can now log in to myRIW by going to https://app.riw.net.au/MySkillGuard/Account/Logon. Enter your RIW Number and Password. Click Login. You will be asked to verify your identity using two-factor authentication. Depending on how your RIW profile was set up, you can choose email or SMS. Click on an option available from the list. ![]() A one-time authentication code will be sent to your device. Enter the code and click Login. ![]() |
6 | The first time you log into myRIW you will need to agree to the Permission Access Agreement. This document explains how information about you may be collected, stored, and used for the purposes of the RIW Program. Indicate your acceptance to these terms as a condition of your participation in the RIW Program. |
7 | If the Permission Access Agreement is rejected, you will be unable to access your RIW profile, which means you will be unable to work on the rail network using an RIW card. Please contact your Employer to discuss your options before refusing, as clicking Reject means your profile will be immediately deleted from the RIW System. IMPORTANT! Clicking reject will immediately delete your profile from the RIW System. |
8 | Once the Permission Access Agreement is accepted, the myRIW dashboard will display. By clicking on View My Profile, you can access your RIW profile, job roles, competencies and swipe history. You can also view your rail health assessments and drug & alcohol assessments.
By using Contact my Employer, you can alert your employer of any changes to your details and request these to be updated in the RIW System. You can also update your own email address, phone number and password in Manage My Account, and update your notification preferences for items such as competency or rail health assessment expiries. From Employers and Associations, accept, reject or end employment and association requests from companies. |

Two-factor authentication (2FA) is used to improve the security of your myRIW account. It requires you to produce a combination of your RIW number and password, and one of the following authentication methods:
- Email security code
- SMS security code
You will need to authenticate your profile every day when you log in to your account, or more frequently if using in-private or incognito browsing.
For 2FA to work effectively, ensure your email address and mobile phone number is always up to date in myRIW. If you can't access myRIW to do this yourself, please ask your employer to update your details.
This instruction applies to the following user role:
- Rail Industry Worker
1 | Go to https://app.riw.net.au/MySkillGuard/ and enter your RIW Number and Password. Click Login. |
2 | Choose an authentication option. In the example below, both SMS and email methods are available. If you do not have a mobile number associated with your RIW profile, only the email authentication option will display. ![]() It may take up to a minute for your security code to arrive. Try authenticating with an alternative method if you do not receive your code. TIP! If you sent the authentication code to your email, try looking in your junk mail. |

Send feedbackHow to check my eligibility to access an RIW site?
myRIW allows Rail Industry Workers to check their eligibility to attend any RIW site, using their current profile information against the requirements set in RIW to attend dste. This is referred to Authority to Work .
In order to have authority to work all workers must have as a minimum a primary employer, valid subscription, successfully passed an ID check and have a card issued.
In addition the the above minimum requirements, there may be competency and job role role requirements as well as minimum medical levels depending on the site and role. Blocks, National, Network or Site, may also restrict a workers access to site.

1 | Go to https://app.riw.net.au/MySkillGuard/Account/LogOn and log in using your credentials. If you have not yet created your myRIW profile, please follow the instructions in How does a cardholder create a myRIW profile? |
2 | Click on Site Eligibility on the home dashboard. |
3 | From the Site Eligibility screen, you can choose to select a site either by Name (defualt selection) or Hierarchy |
4 | To search for a site by name, begin typing the Site Name as recorded in RIW. Matching results will appear below as you type. You may need to scroll to view the full list of sites that match your search criteria. Example: ![]() Note: Each site listing will display the Site Name, Project Name, and Network Operator details. Click on a site to view additional information. |
5 | Alternatively, you are also able to search by Hierarchy. Searching by hierarchy means you will first need to select:
![]() When a Network is selected, the Project dropdown will display only the projects associated with that Network Operator. Once a Project is selected, only the sites linked to that project will be available for selection. If a site includes defined Zone(s), these will also be selectable. Selecting a Zone is optional, but if chosen, the Site Eligibility Check will also assess any specific requirements set for that Zone. Please contact your Employer or the Principal Contractor if you are unsure of the site name or project details. |
6 | After clicking on a site, select Select Site to proceed. The system will then compare the site's requirements with the information in your RIW profile to display an eligibility outcome. ![]() |

8.a | Site Eligibility Outcome - You have authority to work at this site This outcome indicates that, at the time the Site Eligibility Check was conducted, you meet all the minimum profile requirements - including having a valid subscription, primary employer, ID check, and issued card - as well as any applicable Network, Project, and Site-specific requirements necessary to access the site. To review a detailed breakdown of your profile information, including any job roles or competencies that are currently valid but approaching expiry, refer to the article: Understanding the Site Eligibility Check - You have authority to work at a site |
8.b | Site Eligibility Outcome - You do not have authority to work at this site This outcome means that, at the time the Site Eligibility Check was performed, you do not meet the minimum profile requirements and/or specific Network, Project, or Site access requirements (where applicable) to access the site. The reason(s) for not having authority to work will be clearly displayed. Common examples include missing or invalid competencies, an expired or inactive subscription, or the presence of a block on your profile. If there are multiple reasons, all will be listed. For further detail on how to interpret this outcome, refer to Understanding the Site Eligibility Check - You DO NOT have authority to work at a site. This article covers how you can accept or reject an employment or association request in myRIW.
A company requests an employment relationship to manage your RIW profile in the RIW System. Employers have full access and edit rights to your profile. An association request means a company has view only rights to your RIW profile, and gives them advance visibility of your profile before you get to site. They can also add any competencies or job roles to your profile.
You must accept employment or association requests within 30 days of issue. If this time lapses, please ask the company to re-send the request.

Accepting or rejecting an employment or association request
1 | You will receive an employment or association request on email or as a notification on your Vircarda App if you have a virtual RIW card and have notifications enabled. |
2 | To accept an employment or association request, go to myRIW at https://app.riw.net.au/MySkillGuard/ and log in with your RIW number and password. If this is the first time you are using myRIW, check out How does a cardholder create a myRIW profile? |
3 | On the myRIW dashboard, click on the Employers and Associations tile. |
4 | Any pending employment or association requests will be displayed. To accept an employment or association request, click on the Accept button. To reject an employment or association request, click on the Reject button. |
5 | A notification email will be sent to the person who sent the request to confirm you have accepted or rejected their request. |
If you receive an association request from a company and swipe into a site managed by that company prior to accepting the request in myRIW, an automatic approval will be applied to the association request.

The article details how you can end a primary or secondary employment relationship with a employer in myRIW.
Important! When you end a primary employment relationship in myRIW (which is effective at 2400 hrs (AEST) or +1 hr (AEDT) of the leave date specified), you cannot use your RIW card to swipe into site until a new primary employment relationship is established. Please ask an Employer to send you an employment request after the specified leave date, which you must accept before using your RIW card.

When viewing records on myRIW, a cardholder may notice that some of the details are incorrect.
To inform an employer of any changes required, select the Report Corrections option from the main dashboard.

Step 1: Log in to MyRIW
Go to https://app.riw.net.au/MySkillGuard/Account/LogOn and login using your credentials.
Step 2: Report Corrections
To report any corrections to a cardholders profile, the cardholder can click on the Contact my Employer shortcut available from the main dashboard.
Detail the corrections required in the message section and click Send. An email will be sent to the Primary Contact of your Primary Employer company with the requested corrections.
A confirmation message will appear advising an email has been sent to the Employer.

myRIW allows Rail Industry Workers to contact their primary employer directly through the user interface.
When contacting your employer, a message will be sent via email to the primary contact of your current Primary Employer, which will include your name, RIW number and message.

Associated companies have advance visibility of a cardholder before they arrive on site. This is typically used to ensure a cardholder is compliant with the company's work requirements ahead of time. An associated company has view only rights to the cardholders profile, but can add competencies and job roles to the profile. You may need to reset your myRIW password if you recently had your myRIW account unlocked by the RIW Service Desk or if you have forgotten your password.
After a number of attempts of entering your password incorrectly, your myRIW profile will be locked. If you receive this message, please raise a service request to have your myRIW profile unlocked.

4 | The system will email you a link to reset your password. This must be done within 72 hours of the email being sent as the link will expire. If this occurs, just use the Forgotten Password function again to resend another request. On the Change Password screen, enter and confirm your password as per the instructions. Click on the Reset Password button. |
5 | The following message will appear when the password has been changed. |
6 | Go to the Login Page at https://app.riw.net.au/MySkillGuard/Account/LogOn and log in with your RIW Number and new password. Click Login. |

This section applies to RIW cardholder and outlines the most common reasons why you may be denied access to a worksite when using the Site Eligibility Check feature in the RIW system.
The Site Eligibility Check assesses your current compliance status against site-specific requirements. If you're flagged as not having authority to work at a particular site, one of the following reasons may apply. Each rejection reason includes guidance on what it means and what actions you can take to resolve it.
This instruction applies to the following RIW System User Roles:
- myRIW User (i.e. RIW cardholder)
Rejection Reason | Information and Action Required |
Missing Requirements | This means one or more of the mandatory requirements for your assigned job role or site have not been met. Typical missing requirements include expired or missing competencies, medical assessments, or job roles. You should check your RIW profile and contact your employer to identify and address the missing or expired items. |
No Employer | Every worker in the RIW system must have a designated primary employer. If you do not have a primary employer linked to your profile, you will be denied access to sites. This can occur if your employment has ended or if a employment request has not been accepted. Visit your Employers & Associations to check if you have any pending employment requests or alternatively contact your employer to employ you within the RIW system to resolved this. |
Subscription Expired | A valid, current RIW subscription is required for site access. If your subscription has expired or has not been paid, your profile becomes inactive, and you will be denied access. Please contact your primary employer to renew your subscription. |
Network Block Exists | A network block means the network operator (the organisation responsible for the rail network) has placed a restriction on your profile. This is typically due to a safety, compliance, or investigation issue and prevents you from accessing any site within that network. Contact your employer or the network operator for clarification and next steps |
National Block Exists | A national block is a restriction applied at the highest level, usually due to serious safety, compliance, or legal concerns. This block prevents you from accessing any site across all networks nationally. You will need to resolve the underlying issue with your employer and the RIW Service Desk before access can be restored |
Site Block Exists | A site block is applied by a site administrator or contractor in charge for a specific worksite. It may be due to a non-negative Breathalyser (Non-Negative BrAC) test. This block restricts your access only to the affected site. Contact the site administrator or your employer for more information and to resolve the block. |
Outside Work Hour Rules | Access may be denied if you attempt to enter a site outside applicable maximum work hour rules set at the site, based on your RIW access history across all RIW sites. Many sites enforce strict work hour rules to ensure safety, manage fatigue, and comply with contractual agreements. If you believe this is an error, contact your site supervisor or employer for clarification. |
Card Expired | Access will be denied if your RIW card has expired. The RIW card is your official identification and proof of competency for rail industry sites. An expired card means your credentials are no longer valid, and you cannot legally or safely enter worksites until it is renewed. Always check the expiry date on your card and renew it before it lapses to avoid disruptions to your work. |
Card Cancelled | Access will be denied if your RIW card has been cancelled. A cancelled card means it is no longer valid for use due to reasons such as being reported lost or stolen or cancelled by your employer. Once cancelled, both physical and virtual cards are immediately deactivated and cannot be used to access any site. If you believe your card has been cancelled in error or need clarification, contact your employer or the RIW Service Desk for assistance. To regain access, a new card will need to be issued by your primary employer. |

The myRIW platform enables Rail Industry Workers to verify their Authority to Work at any RIW site. This is assessed by comparing the worker’s current profile information against the specific access requirements set for that site within the RIW system.

There may be one or multiple groups, and all groups must be met Example:To meet the site requirements, two specific job roles and one competency are required. In this example, the worker holds both required job roles. The Valid Until date shows when one of the job roles is due to expire. The Next Key Expiry indicates that the worker’s medical is scheduled to expire on the same date. However, the worker does not meet the mandatory competency requirement. The competency is listed as Missing, meaning it has either not been assigned to the worker or is not currently in a valid, verified state.
