Power BI Employer Dashboards & Reports - How to Access and Use

The RIW Power BI Employer Report is an advanced reporting and analytics tool providing interactive dashboards across a wide range of workforce data areas. It is accessed directly within the RIW System - no separate Microsoft Power BI licence is required.



Accessing the Report


The Employer Report is available to all Employer Admin users for employers with more than 300 workers. Employers outside this group can request access by contacting the RIW Service Desk at info@riw.net.au.


Once available, users can access the reports by selecting Reports > Power BI Reports within the RIW System.



What Data Is Visible

The report displays data based on your RIW user permissions. Data visibility depends on the relationship between workers and your organisation:

Data refresh

The Employer Report is refreshed throughout the day.


Scheduled refresh times are approximately:


2:30 AM AEST / 12:30 AM AWST

6:30 AM AEST / 4:30 AM AWST

8:30 AM AEST / 6:30 AM AWST

10:30 AM AEST / 8:30 AM AWST

12:30 PM AEST / 10:30 AM AWST

2:30 PM AEST / 12:30 PM AWST

4:30 PM AEST / 2:30 PM AWST

6:30 PM AEST / 4:30 PM AWST


Refresh times are indicative and processing may take some time to complete. As a result, information displayed in the report may be slightly behind the current information held in the RIW System.


Where current worker status, competency, compliance or other time-sensitive information is required, users should review the worker's record directly in the RIW System.


Report Pages

The Employer Report contains the following pages, accessible from the left-hand navigation panel:

WorkersDetailed worker listing with eligibility, card validity, subscription status and medical level - also the navigation hub for drilling into worker detail
Job RolesJob roles held by workers - current and historical, validity, suspension status and owning authority
CompetenciesCompetencies awarded, validity, expiry dates and upcoming expiries (30, 60 and 90-day views)
MedicalsMedical test results, medical levels and expiry dates
D&ADrug and alcohol test results, test types and expiry information
BreathalyserBreathalyser test records by site and project
CardsPhysical and virtual RIW card status and issuance history
SwipesSwipe events, outcomes, trends, deny reasons and near-real-time on-site worker view
Work RestrictionsActive work restrictions recorded against workers
Risk AssessmentsActive worker risk assessments
Allocated ItemsItems currently issued to workers (PPE, keys, access devices)
TravelWorker travel time to and from site by project, based on self-nominated travel hours recorded at sign-in
HelpBuilt-in reference guide to the report - features, filters, drill-down instructions and user permissions panel


Navigating and Filtering

Each report page includes filters and slicers in the left-hand panel. You can filter by project, site, worker relationship, date range and more. Clicking on a chart element cross-filters all other visuals on the same page. Use the Clear Filters button (top-left of each page, next to the RIW logo) to reset all filters to their default state.


In most data tables, each worker row includes a link icon - clicking it opens the worker's full record directly in the RIW System.


To export a data table, hover over it, click the three dots () in the top-right corner, and select Export data.

Data not appearing as expected?

First check whether filters are set to "All" and use Clear Filters to reset. If data is still missing after the next refresh cycle, contact info@riw.net.au.
