Creating COVID-19 status as Employer based competencies as an Employer Administrator with Premium functionality.

This article has been created to provide guidelines on how Premium Employers can use Employer based competencies to demonstrate COVID-19 status for RIW cardholders. 


This instruction applies to the following RIW System User Roles:

  • Helpdesk
  • Network Manager
  • Network Manager - Read Only
  • Employer Administrator (Premium Functionality Employer)
  • Employer Administrator (Premium Functionality Employer) - No Payment
  • Employer Administrator (Premium Functionality Employer) - Read Only
  • Advanced Project Administrator
  • Project Administrator
  • Site Administrator
  • myRIW - RIW Cardholder


Premium Employer will be able to create new employer-based competencies, within the RIW system for recording COVID-19 status for RIW cardholders. 


Naming Convention example, in VIC: JH – COVID19 – 1st Vaccination, JH – COVID19 – 2nd Vaccination, JH – COVID19 – Medical Exempt.


The health directives can be different for each state so it is the worksites responsibility to ensure that they are granting access in accordance with the relevant states requirements. 


To demonstrate their COVID-19 status RIW cardholders will be required to fill in the declaration form for the relevant state (NSW or VIC), depending on the worksite they are accessing, and then provide evidence of their COVID-19 status for sighting to the Verification Officer for the worksite.


The Verification Officer will verify the documentation supplied and sign the declaration to confirm. Only the declaration will be uploaded as evidence for the Employer based Competency held within the RIW cardholder’s profile.

Please note; this interim process relates to VIC and NSW rail worksites that elect to use the RIW system, to provide COVID-19 status for RIW cardholders.
